Description of Board Duties

Board Member Roles:  The HOA Board is composed of Hampton South homeowners who volunteer their time in an effort to maintain the neighborhood as a safe and inviting community in which to live. No compensation is received in the performance of board-related duties.

President:  Presides at all meetings of the Board of Directors; sees that orders and resolutions of the Board are carried out; signs all leases, liens and other written instruments and co-signs any promissory notes.

Vice President:  Acts in the place of the President in he event of his/her absence, inability or refusal to act, and exercises other duties as may be required by the Board.

Treasurer:  Receives and deposits in appropriate bank accounts all monies of the Association, and disburses such funds as directed by resolution of the Board; signs all checks and co-signs all promissory notes of the Association; keeps proper books of account; keeps appropriate current records showing the members of the Association together with their addresses; provides dues certificates upon request; causes an annual audit of the Association books to be made by the Board at the completion of each fiscal year; prepares an annual budget and a statement of income and expenditures to be presented to the membership at its regular annual meeting, and delivers a copy to each of the members; reports at regular meetings to the Board of Directors on the financial condition of the corporation; prepares for approval by the Board all financial reports or returns of the Association as required by any Federal, State or Local government, agency or law.

Secretary:  Records the votes and keeps the minutes of all meetings of the Board and of the members; keeps the corporate seal of the Association and affixes it on all papers requiring the seal, serves notice of meetings of the Board and of the members; and performs other duties as required by the Board.

Landscape Beautification Chairperson:  Recommends actions to the Board with regard to landscape and beautification maintenance issues at eh entrances and the common park; monitors service providers for quality and consistency of service; provides a status report to regular meetings of the Board, and exercises other duties as may be required by the Board.

Architectural Committee Chairperson:  The Architectural Committee's purpose is to promote good design, harmony, and compatibility within the subdivision. The Chairperson leads the Architectural Committee.; functions as primary point of contact for the submission and review of Architectural Modification applications; recruits members to assist in the review of applications; facilitates Architectural Committee review and response on proposed architectural modifications at properties within Hampton South; provides recommendation to the Board on applications that the Committee is unable to act on; provides a status report to regular meetings of the Board, and exercises other duties as may be required by the Board.

HOA Meetings:  The Association meets once annually. The Board meets about once every six weeks, or as needed. Minutes are kept for each of these meetings. If you are a resident of Hampton South and would like a copy of the minutes from any of these meetings, notify the Secretary or the President and they will send you a copy. If you are interested in attending a Board meeting, let the Secretary or President know and you will be informed when and where the next Board meeting is scheduled.
